It is highly recommended that you have travel insurance covering cancellations before making a booking.

Making a Booking

You must be 18 years of age or over to book accommodation and stay at Tilehouse Retreats.

The maximum number of guests in the accommodation, Fox and Hounds Farmhouse is twelve.

All bookings made through our online reservation system are considered provisional until you receive an email confirmation from us. To secure your reservation, a non-refundable deposit of 30% (or full payment) of the total cost is required. The total amount must be paid in full no later than 8 weeks prior to your arrival date. For bookings made within 8 weeks of your stay, full payment is required at the time of booking.

When you submit a booking and payment through our online reservation system, you will be required to read and accept these terms and conditions. An automatically generated booking confirmation and payment summary will be sent to the email address provided during booking. This booking confirmation email establishes a contract between you and Tilehouse Retreats.

If the balance is not paid by the due date Tilehouse Retreats reserves the right to re-let your accommodation and retain the deposit.

The prices featured on the website are not binding. We reserve the right to modify these prices at any time. The price stated on your booking confirmation email is binding.

Tilehouse Retreats reserves the right, at all times, without statement of reasons, to refuse or cancel a booking.

Arrival & Departure Times

Your accommodation will be ready by 3 p.m. on the day of arrival and must be vacated by 10 a.m. on the day of departure.

Due to the secluded location of the farmhouse, we encourage you to arrive before darkness in winter. If you anticipate that you will arrive after dark, you must notify us at least 7 days in advance with your arrival time and keep us updated if you are delayed on your journey to us. All arrivals must be before 9pm, all year round.

Cancellations

Any cancellation must be in writing via email and will only be effective once we send written confirmation of the cancellation to you. Please see REFUNDS section for your entitlement to refunds. Cancellations made within 7 working days of your stay date, will not be refundable under any circumstances, as the stay cannot be remarketed.

When we confirm your cancellation in writing we will provide you with details of what (if anything) is owing to you and any deductions we have made.

We strongly recommend that you take out holiday insurance at the time of making the booking with cancellation cover. Whilst we allow you to cancel your stay, we cannot guarantee that we will be able to refund any part of the payments you have already made.

If you are unable to travel to the farmhouse for any reason, or do not arrive on the day of check-in without notifying us, this will be treated as a cancellation.

Refunds

Cancellations made within 7 working days of your stay date, will not be refundable under any circumstances, as the stay cannot be remarketed.

If your dates are resold:

You will be entitled to a refund of all payments you have made to us minus:

(a) any reduction in the value per night of the new booking received compared with the rate charged to you for your stay nights;

and

(b) a £50 cancellation admin charge.

If your dates cannot be resold then:

If you cancelled

Eight weeks or more prior to the check-in date

We will retain the deposit you paid at the time of booking.

Less than eight weeks to the check-in date

We will retain all payments made and you will be liable for any outstanding balance payment.

If you are unable to travel due to personal illness (e.g. Coronavirus or other sickness), our cancellation policy will apply.

If we cancelled your stay:

In the unlikely event that we need to cancel your holiday, we shall inform you as soon as possible and refund all monies paid to us, by you within 14 days.

If Government policies restrict travel and you are unable to travel to stay with us, you will have the option to postpone your stay to a later date (subject to any differences in price applicable for the new dates) or receive a full refund.

Guest Behaviour

Guests are expected to behave in a respectful, responsible, and considerate manner at all times during their stay. Any disruptive conduct, including excessive noise, vandalism, or behaviour that disturbs neighbours or other guests, is strictly prohibited. The use of fireworks, illegal substances, or any hazardous materials is not permitted under any circumstances. Unauthorised parties or gatherings, and any form of abusive, aggressive, or discriminatory behaviour, may result in immediate termination of the stay without refund. Guests are fully responsible for the actions of all members of their party and any visitors they invite to the property. The property reserves the right to charge for any damages, losses, or additional cleaning costs arising from inappropriate behaviour or negligence.

Commercial Use of the Property

The farmhouse is rented to you for purely non-commercial leisure purposes only. Filming, photography or other commercial uses including influencers/blogger content creation must be done with prior authorisation from Tilehouse Retreats management. Additional charges may apply for commercial use.

Parties & Events

Parties or events are only permitted with the express written permission of Tilehouse Retreats management. Only those listed on the booking are permitted to stay overnight at the property. Any unauthorised events, gatherings, or overnight guests may result in immediate termination of the booking without notice or refund. External suppliers or third parties, including but not limited to styling companies, photographers, or caterers, are not allowed on the premises unless pre-approved in writing by Tilehouse Retreats. We reserve the right to refuse access or cancel bookings if these terms are breached.

Cleaning, Damage & Breakages

Please leave your accommodation tidy and let us know if anything gets broken so we can replace it for our next guest. Accidents happen and we will only charge for replacements in exceptional circumstances, as we expect a fair degree of wear and tear. If the damage is directly attributable to the guest, then we reserve the right to request payment to cover all damages incurred directly during your stay.

Standard cleaning is included as part of your stay at Tilehouse Retreats. However, if the property is left in a condition that requires excessive or specialist cleaning, such as—but not limited to—carpet shampooing, removal of pet hair from furnishings, or deep cleaning of appliances, an additional cleaning fee will apply. This will be charged at a rate of £15 per hour, based on the time required to return the property to its original condition. Tilehouse Retreats reserves the right to invoice guests after their departure for any such cleaning deemed necessary beyond standard turnover. Guests will be charged for any item(s) that are removed or lost from the accommodation.

Drones

The use of drones for commercial or private use is strictly prohibited.

Dogs & Pets

We welcome well-behaved dogs and pets at Fox and Hounds Farmhouse. To ensure the comfort and cleanliness of the property for all guests, we kindly ask that pets are not allowed upstairs or on any soft furnishings, including sofas and beds. Owners are expected to clean up after their pets promptly and to ensure they are kept under control at all times, both inside, on the grounds and on the wider Estate. Any damage or excessive cleaning caused by pets may result in additional charges. (Please see Cleaning, Damages & Breakages). Pets must not be left unattended in the property unless safely and appropriately confined. We reserve the right to withdraw permission for pets if these conditions are not met.

Smoking

Smoking, vaping and e-cigarettes are not permitted in the farmhouse buildings. Smoking is permitted in the garden and grounds but please extinguish cigarette butts fully and dispose of them responsibly.

Fireworks & Chinese Lanterns

Due to the high fire risk, the use of fireworks, sparklers and Chinese lanterns are not permitted across the entire site, at any time.

Candle Use and Safety

For your enjoyment, a limited number of candles have been provided; however, they must be used with extreme care and attention to safety. Candles are to be placed only in the designated holders provided and must never be left unattended while lit. They should be kept away from flammable materials, including curtains, bedding, and soft furnishings, and must not be used near open windows or in drafty areas. Candles are for indoor use only in specified areas and in the designated lanterns in the pool area and must be kept out of reach of children and pets at all times. The candle lanterns in the pool area must not be moved from the designated locations. Guests must fully extinguish all candles before leaving the room or going to sleep. Tilehouse Retreats accepts no responsibility for accidents, fire, or damage caused by misuse of candles, and any breach of these guidelines may result in charges or termination of the booking.

BBQ and Pizza Oven Use & Safety

A gas-powered BBQ and pizza oven are provided for guest enjoyment and must be used responsibly and in accordance with the safety instructions provided. Both appliances are strictly for outdoor use only and must not be moved indoors or used in enclosed or covered areas. They must be placed on a flat, stable surface, well away from flammable materials such as trees, structures, or soft furnishings.

Guests must read and follow all operating instructions carefully before use. Never leave either the BBQ or pizza oven unattended while in operation. Children and pets must be supervised and kept at a safe distance at all times. After use, guests must ensure the gas supply is turned off at the source (where applicable) and that the equipment is left  in a safe condition.

Use of these appliances is at the guest’s own risk. Tilehouse Retreats accepts no liability for injury or damage resulting from misuse, negligence, or failure to follow safety guidelines. Any damage, fault, or malfunction must be reported immediately. Guests must not attempt to repair, modify, or tamper with the BBQ or pizza oven under any circumstances.

Service Utilities

Should there be a failure in a utility service (e.g. water, heating, electricity, sewerage) please notify Tilehouse Retreats management immediately and we will aim to restore the service as quickly as possible. However, should any utility service failure extend beyond a 12 hour period from notification, for your health and safety reasons you will be asked to leave the accommodation and your accommodation fee for the duration lost will be fully refunded or you will be offered to re-book for another time, subject to availability.

Recycling & the Environment

A recycling bin can be found in the kitchen for recyclable waste and we ask that you recycle as much as possible.

Swimming Pool Use and Safety

The swimming pool is available for guest use and must be used responsibly and safely at all times. Children and non-swimmers must be supervised by a responsible adult whenever in or near the pool. Running, diving, or rough play is strictly prohibited to prevent accidents. Guests must follow all posted pool rules and guidelines, including any instructions provided by Tilehouse Retreats management. The pool area must be kept clean and free of glass or sharp objects. Use of the pool is at guests’ own risk, and Tilehouse Retreats accepts no liability for injury, accidents, or drowning. Guests should ensure they are medically fit to use the pool and must report any hazards or maintenance issues immediately. No food or drink is allowed in the pool.

Site Safety and Outdoor Areas

Guests are kindly reminded to take care when moving around the grounds of Fox and Hounds Farmhouse, including the surrounding woodlands and natural areas. The site features uneven terrain, natural vegetation, and a stream that runs near the property. While these areas add to the charm of the retreat, they may present potential hazards. Guests must take full responsibility for their own safety and that of any members of their party, particularly children and pets. Extra caution should be taken near the stream, which can be slippery or fast-flowing at times. Children must be supervised at all times, and pets must be kept under control to prevent accidents. By accessing these areas, guests do so at their own risk. Tilehouse Retreats accepts no liability for injuries, accidents, or incidents arising from failure to exercise appropriate care.

You are reminded of the higher degree of risk the woodland and countryside environments present and you should take appropriate and reasonable care for your safety and the safety of others at all times. This includes wearing suitable clothing and footwear for the terrain and weather conditions during your stay. You are fully responsible for your own safety at all times.

Personal Property

Tilehouse Retreats will not be held responsible for any loss or damage to any property on Fox and Hounds Farmhouse premises or wider Estate. Vehicles, accessories and contents are left at the owner’s risk. It is recommended that your holiday insurance covers loss or damage to personal effects.

Vehicles and Parking

Guests are required to park their vehicles within the designated parking areas on the grounds of Fox and Hounds Farmhouse only. Parking on access roads, public rights of way, verges, or outside the property boundary is not permitted. When entering or exiting the site, guests must proceed with care and attention, particularly as the surrounding lanes may be narrow, uneven, or shared with pedestrians and wildlife. Guests are responsible for ensuring their vehicles are parked safely and securely. Tilehouse Retreats accepts no liability for loss, theft, or damage to vehicles or their contents while on the property. Please drive slowly and considerately at all times to maintain the safety and tranquillity of the site.

Extreme Weather

Tilehouse Retreats holds no responsibility for guests who are unable to attend the treehouse due to extreme weather or traffic conditions (e.g. snow, flooding, high winds, road traffic accidents/congestion, train delays, etc.). If a guest is unable to reach the Fox and Hounds Farmhouse due to adverse weather conditions or travel issues, you will lose your full payment and an alternative date will not be offered. Please ensure you have full holiday / travel insurance to cover such eventualities.

If we make the decision to cancel your stay for safety reasons due to extreme weather (snow or high winds), we will offer you an alternative date, subject to availability.

Force Majeur

Tilehouse Retreats accept no liability for events prior to or during your stay totally beyond our control, e.g. destruction of property due to flood, fire, earthquakes or acts of nature; or if the property becomes uninhabitable due to irreparable damage or on Health & Safety grounds that could not reasonably have been foreseen. In such instances, refunds will be at the discretion of Tilehouse Retreats management.

TILEHOUSE RETREATS RESERVES THE RIGHT TO CHANGE OR AMEND THESE TERMS AND CONDITIONS AT ANY TIME.
